1. Invoicing and Data Processing for Non-Members
If you are not a member of our association, we collect the data provided during registration (name, address, email address, and payment details if applicable) exclusively for the purpose of organizing the event, identifying the participants, and ensuring proper invoicing. The legal basis for this processing is the fulfillment of the contract regarding participation in the event or the implementation of pre-contractual measures.
2. Photography and Image Recording
During the event, the association will take visual recordings (photographs). These recordings serve to document the event as well as for our public relations work (e.g., publication on our website, in newsletters, or on our social media channels).
- For Members: Processing is based on our legitimate interest in reporting on our association's activities.
- For Non-Members: Processing is based on our legitimate interest in contemporary visual documentation of the event. Since your privacy is important to us, we do not attach a contractual obligation to tolerate photography to your registration.

3. Use of AI-Powered Translation Software
To ensure an accessible event, we utilize software-based Artificial Intelligence (AI) for live translation during the presentations. For this purpose, the audio signals of the speakers (the spoken word) are processed in real time. There is no permanent storage or analysis of voice profiles or personal data of the participants by the AI provider. The transient transmission of data to the software service provider is encrypted and serves exclusively the purpose of simultaneous translation.
